Accounts Receivable Co-ordinators - Calgary, AB
The Accounts Receivable Co-ordinators position, encompasses Credit & Collections, Payment Processing, Posting, Adjustments, Price changes, and superior customer service for both internal and external customers. The position is outlined below but can also include other duties not listed, changes to existing duties, or special assignments as required. Co-ordinators report directly to the Credit & Collections Officer.
Credit/Collections
- Creating and maintaining credit history files-Credit approvals
- Assessing credit worthiness of accounts/clients using external credit risk management tools/reports
- Supporting the collections officer’s efforts/calls for accounts receivable portfolio
- Documenting (auditing) daily collection /posting activities
- Researching account disputes and billing discrepancies
- Performing account/payment reconciliations
- Responding to credit inquires from external and internal clients
- Identify delinquent accounts requiring external collection efforts
- Assist in identifying bad debt or financial exposure
Procomm/PowerWARE
- Edit/Review/Post
- Open Credits- printed report to Credit and Collection Officer- Reconciliation of unapplied credits with branch support
- Month end sales figures
- Month end reports plus COD list completed at the end of each month and reported
- Staff purchases and cash account balances reports to the Credit & Collections Officer
- Adjustments
- NSF-chargebacks and NSF fees billed
- Small balances overage & shorts write-offs completed after month-end.
- Move payments between accounts when required
- Over & shorts on customer payments need to be investigated and dealt with at the time of entry
Customer Service
- Exceptional Internal & External Customer Service & Relationship building
- Friendly & professional conduct at all times
- Provide continuous support and encouragement to all Branch Personnel
- Responsible for ensuring co-coordinator is trained and available for absence or workload coverage at all times
Office Administrator - Slave Lake, AB
Reporting To: Branch Manager
Main Job Tasks and Responsibilities
- Ensures accurate and timely customer invoicing and sales batching is performed
- Codes and obtains authorization for Accounts Payable
- Ensures deadlines are met for Head Office and Branch in accordance with reporting calendar
- Manages month end procedures, processes tank rentals, prints statements and management reports
- Prioritizes and organizes administrative activities
- Enters data and processes meter tickets and work orders in billing quality format
- Maintains and monitors customer assets, accounts, collections and photocopied records for Branch
- Manages and tracks Accounts Receivables, collections and billing enquiries
- Finalizes Work Orders and enters asset codes for billing and warranty purposes
- Secures and maintains up to date records for truck repairs and maintenance, log books and pre/post trip inspections Mileage reports
- Dispatches propane deliveries and service calls
- Month end procedures PMR, payable accruals, month end printing, statements, mileage, overtime
- General office duties, filing, answer phones, helping office staff when possible, customer service

Requirements:
- Valid B.C. Class 1 or Class 3 Clean Drivers license.
- Current drivers abstract
- Minimum 3 years mountain winter driving experience
- Previous propane and bulk fuel delivery experience preferred

We are seeking a career orientated individual to manage and grow our Slake Lake / Red Earth operation. The candidate must have the following:
- Business management experience
- Strong leadership and people management skills
- Excellent sales abilities and a proven track record
- Knowledge of the propane industry would be an asset
- Fleet and / or fleet maintenance experience
- Strong organizational, planning and analytical skills
- Class 1 license would be an asset
- Class 1 gas fitting license preferred
- Knowledge of basic accounting skills
